Information We Collect Automatically
When you use our Services, we automatically collect certain information, including:
- Usage Information: We log information about your use of the Services, including files uploaded, transcription jobs submitted, features used, and session duration.
- Device Information: We collect information about the device you use to access our Services, including hardware model, operating system, browser type, and unique device identifiers.
- Log Information: We collect standard server log data including IP address, access timestamps, and referring URLs.
Audio Data
When you use our transcription features, you upload audio or video files ("Audio Data") to our platform. This Audio Data is processed solely for the purpose of generating a text transcript and is not used for any other purpose, including training AI models, without your explicit consent.
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our Services, including processing audio and video files for transcription.
- Process transactions and send you related information, including payment confirmations and invoices.
- Send you technical notices, updates, security alerts, and support messages.
- Respond to your comments, questions, and requests and provide customer service.
- Monitor and analyze trends, usage, and activities in connection with our Services.
- Detect, investigate, and prevent fraudulent transactions and other illegal activities, and protect the rights and property of Transcribify and others.

We do not share your personal information with third parties except in the following circumstances:
- With your consent: We may share your information if you have given us your explicit consent to do so.
- Service Providers: We may share your information with third-party vendors who need access to perform services on our behalf (e.g., payment processing, cloud storage, AI transcription APIs).
- Legal Compliance: We may disclose your information if required by law, court order, or to protect the rights, property, or safety of Transcribify, our users, or others.

4. Audio Data Retention and Deletion
Transcription Files
Audio and video files you upload are processed to generate transcripts and are automatically deleted from our servers within 24 hours of job completion, unless you explicitly request longer storage as part of a paid plan feature.
Transcription Results
Generated transcripts are stored in your account history and retained as long as your account is active. You can delete individual transcripts from your account at any time.
Account Closure
If you close your account, we will delete your transcript history and personal information within a reasonable period, unless retention is required for legal or legitimate business purposes.
5. Your Rights and Choices
Account Information
You may update or correct your account information at any time by logging into your account settings.
Data Deletion
You may request deletion of your account and associated data by contacting our support team or through your account settings.
Cookies
Most web browsers accept cookies by default. You can configure your browser to remove or reject cookies, though some features of the Services may not function properly without them.
Promotional Communications
You may opt out of receiving promotional emails by following the unsubscribe instructions in those emails. We may still send you transactional communications related to your account.

Audio files are transmitted over encrypted connections (HTTPS) and processed in isolated environments. However, no electronic transmission or storage system is 100% secure.

Your information may be transferred to and processed on servers outside your country of residence. Where applicable, we ensure appropriate safeguards are in place for such transfers in accordance with relevant data protection laws.
8. Children's Privacy
Our Services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that a child under 18 has provided us with personal information, we will promptly delete such information.
